What is 1Vision Voice?

1Vision Voice is an AI-powered mobile application built for sales professionals in the print and mail industry. It transforms the traditional project intake process by replacing paper-based RFQ (Request for Quote) forms with intelligent voice and text conversations. Instead of filling out lengthy forms manually, you simply talk to the AI assistant about your project, and it captures all the necessary specifications for you.

The app is designed to be used in the field — during client meetings, phone calls, or on the go. It understands print and mail industry terminology and guides you through the information gathering process naturally and efficiently.

How It Works

1. Create a New ProjectTap the + button to start a new project. Give it a name, such as your client's name or the project title. You can optionally select an RFQ form template, or let the AI automatically determine the best form based on your conversation.
2. Start a ConversationOpen the project and begin talking to the AI assistant. You can use voice mode by tapping the microphone for hands-free dictation, or type your responses. The AI will ask relevant questions about the project specifications.
3. Provide Project DetailsShare information about quantities, paper stock, dimensions, finishing, mailing requirements, and any other project specifications. The AI understands industry terms and will ask follow-up questions to ensure nothing is missed.
4. Review Extracted AnswersAs you converse, the AI automatically extracts and organizes your answers into the appropriate form fields. You can view the progress at any time to see which questions have been answered and which still need information.
5. Get a Project EstimateOnce enough quantitative and cost-related details have been provided, the app can generate a preliminary project estimate. This helps you give clients a ballpark figure during the meeting itself.
6. Export & ShareGenerate a professional PDF report containing all project specifications and share it with your project managers, estimators, or clients via email or messaging apps.

Using Voice Mode

Voice mode allows you to have a real-time spoken conversation with the AI assistant, similar to a phone call. This is especially useful when you are in a client meeting or driving and cannot type.

To start voice mode, tap the microphone button on the conversation screen. The AI will speak its questions aloud and listen to your responses. You can interrupt at any time by speaking — the AI will stop and listen. To end voice mode, tap the stop button.

Voice mode works best in a relatively quiet environment. The AI transcribes your speech in real time and processes it just like typed text, so all the same features — answer extraction, progress tracking, and estimation — work seamlessly.

Project Estimation

1Vision Voice includes an intelligent estimation feature that analyzes your project conversation to generate a preliminary cost estimate. This is designed to help you provide clients with a ballpark figure during or shortly after your meeting.

The estimation system reviews the conversation for quantitative and cost-related information such as quantities, page counts, paper specifications, finishing requirements, and mailing details. When sufficient data is available, it produces a concise estimate summary.

How Estimation Works

• The estimate is generated by AI analysis of your conversation content.
• It requires sufficient quantitative data, such as quantities, dimensions, and materials.
• If key information is missing, the system will tell you what additional details are needed.
• Estimates are preliminary and intended as a starting point for formal quoting.
• You can request an estimate at any point during the conversation by tapping the estimate button.

Please note that estimates generated by the app are approximate and should be validated by your estimating team before presenting a formal quote to the client. The more detailed information you provide during the conversation, the more accurate the estimate will be.

Managing Your Projects

All your projects are accessible from the Home screen and the My Projects tab. Projects are organized by status: active projects that are in progress or draft, and exported projects that have been completed and shared.

Project Statuses

• Draft — Project created but conversation not yet started.
• In Progress — Active conversation with the AI assistant.
• Exported — PDF report generated and shared.
• Archived — Project moved to archive for record-keeping.

You can archive projects you no longer need from the My Projects screen by swiping left on a project. Archived projects can still be viewed but will not appear in your active project list.

Exporting & Sharing

Once your project conversation is complete and all necessary specifications have been captured, you can generate a professional PDF report. This report includes all extracted answers organized by category, along with any estimation data.

To export a project, open the project detail screen and tap the export/share button. The app will generate a PDF and open your device's native share sheet, allowing you to send it via email, messaging apps, AirDrop, or save it to your files.

Tips for Best Results

• Be specific with quantities, dimensions, and materials when possible.
• Mention the project type early in the conversation so the AI can select the right form.
• You can correct or update information at any time — just tell the AI.
• Use voice mode in meetings to capture details hands-free.
• Review the progress tracker to ensure no required fields are missed.
• For estimation, include pricing context such as paper costs or postage rates if available.
